
Match the vehicle to the offer
Compare identification information across relevant records. Include powertrain, production information, condition and essential equipment. If sourcing involved a substitute, ensure the final file describes the replacement actually accepted. An image from an initial discussion should not remain the only photograph of a changed candidate.
Link the commercial scope to the final specification and record accepted variations. For a batch, maintain an index identifying every unit and its records. Similar exterior colours should not make cars with different equipment or history difficult to distinguish.
Preserve inspection and preparation
Retain inspection reports, disclosures and records of agreed work. Add current dated handover photographs tied to the vehicle. For repaired findings, include available completion evidence and agreed follow-up checks. Preserve the original finding as part of the history.
Record new observations separately after transport or storage and discuss unresolved findings before release at the agreed stage. Handover confirms correspondence with the accepted record; it is not a comprehensive new examination unless that work was commissioned.
List contents and access arrangements
Count keys, charging accessories and separately agreed equipment. Identify models where relevant and explain how separately packed items relate to each vehicle. Make exclusions visible so the receiving dealer need not infer them from brochure pictures.
For connected access, retain supported handover steps without sharing another owner’s credentials. The software checklist covers regional dependencies. Keep personal information out of general logistics images and provide records only to parties who need them for the relevant transaction stage.
Coordinate the receiving review
Ask destination-side advisers or providers to identify documentation needed for the particular transaction and classification. A generic list cannot certify eligibility. Assign responsibility for each item and establish review timing. Resolve naming or identification inconsistencies before they move further through the process.
Arrange a receiving check against the dispatch record, covering vehicle identity, condition and supplied items. Date new observations, retain photographs and agree reporting channels for discrepancies. An organised file supports investigation without pretending that documentation eliminates technical, transport or destination uncertainties.
Example: accessories travel separately
Several vehicles share a shipment, and the charging accessories are packed in separate cartons. Record the agreed contents and associate each package with the relevant vehicle or order reference. Include the package count in the handover file and compare it during receipt. A generic photograph of several cables does not establish that every unit received its agreed items. If a package is missing or different, preserve the dispatch and receiving records so the parties can investigate the specific discrepancy through the agreed channel.
